The Senate of Osun State University (UNIOSUN), Osogbo, has approved a new harmonised format for writing names on all official university documents in line with global best practices.
The decision, reached during a recent Senate meeting, was officially communicated through a circular issued by the Registrar, Mrs. Atinuke Abosede Oguntunde, on October 2, 2025. The move, according to the circular, is aimed at ensuring consistency, clarity, and administrative efficiency in the university’s documentation process.

Under the new guideline, names are to be written in the order of First Name / Middle Name / Last Name (Surname), with the surname written in uppercase letters. For example, “Atinuke Abosede OGUNTUNDE.” The circular also clarified that individuals who use only two names should maintain the First Name / Last Name (Surname) format, with the surname in uppercase — for instance, “Atinuke OGUNTUNDE.”

In addition, where initials are used in place of full first or middle names, the approved pattern shall read as Initial(s) followed by Last Name (Surname), with the surname also in uppercase — for example, “Mrs. A.A. OGUNTUNDE.”
Registrar Oguntunde explained that the harmonisation would eliminate inconsistencies in records and align UNIOSUN with international standards used by reputable academic institutions worldwide. She emphasised that the reform would also enhance the integrity of official records such as certificates, transcripts, and employment documentation.

“The decision was taken to promote efficiency in record management, ensure clarity in identification, and prevent administrative errors that may arise from inconsistent name formats,” the Registrar stated.
The circular, referenced REG/ADM/CIRC/160009, was distributed to all principal officers of the university — including the Vice-Chancellor, Deputy Vice-Chancellors, Provosts, Deans, Academic Directors, Heads of Departments, and the University Librarian. Copies were also posted on faculty notice boards to ensure that both staff and students are fully informed.
All members of the university community have been directed to immediately comply with the new format in all official dealings, including the writing of names on academic records, forms, identity cards, and internal correspondences.
Mrs. Oguntunde added that the Registry Department would monitor compliance across faculties and departments, while the Senate described the measure as “a simple but significant step” toward maintaining professionalism and institutional excellence.
